SUMMARY:Writing Policy and Procedure Documents: Practical Tips for URAC Accreditation Success
DESCRIPTION:Is your organization considering a URAC accreditation but finding yourselves stuck on writing policies and procedures\n \nIf so\, the URAC team is here to help. In this webinar\, we review why policies and procedures are important to an organization\, the basics of writing P&Ps that work for your organization and what URAC looks for in policies and procedures you submit as part of your accreditation application. \nDownload the Webinar Slides\nQuestions from the webinars and their answers\nHow often are organizations required to update their policies to maintain compliance with URAC standards?\nURAC standards require a review of policies and processes at least every 36 months.\n\n  \nWhat elements are absolutely required as sections in a company procedure? I've seen differences between organizations. Examples: Objective\, Responsibility\, Scope\, Process\, Approvals\, Revision #\, Revision History.\nOrganizations should use a policy template that includes elements that are meaningful to their organization. There are many templates online that can be used as a model. At a minimum the following should be included to comply with URAC standards: effective dates\, review dates\, revision dates and identification of approval authority.\n\n  \nWhat's the best method for organizations with multiple accrediting organizations? Is it better for pharmacies to have the same policy but with versions that have language matching the accrediting body or have one policy that reflects the organization’s needs?\nFirst and foremost\, policies and procedures should document an organization’s rules of conduct and guide standardization of the staff’s daily operational activities. Secondarily\, policies and procedures may be used to demonstrate compliance with accreditation or regulatory standards. It is best practice to maintain one set of policies and procedures versus multiple. This promotes understanding and utilization of these important documents.\n\n  \nWhen URAC standards change (from one version to another) and an organization updates policies\, when should they implement the revised policy?\nOrganizations should maintain compliance with the program standards they are currently accredited under until they submit their reaccreditation application. URAC expects compliance with the revised standards as of the date the reaccreditation application for the new program version is submitted.\n\n  \nIf an organization uses a vendor for claims adjudication\, can they submit their policies as-is? Or do they need to rewrite them verbatim in the company’s template?\nIf an organization delegates a function within the scope of the accreditation\, the organization is responsible for ensuring the vendor complies with URAC standards. During the accreditation review process\, URAC will review how the organization conducts oversight of the vendor to ensure compliance with URAC standards. URAC will not review the specific policies and procedures of the vendor. As such\, an organization who delegates a function does not need to submit policies and procedures specific to that function to URAC on Desktop Review. Rather the organization can upload documentation indicating the function is delegated.

After working as an RN for several years\, Maggie became interested in computers\, which\, at that time\, were just coming into the health care setting beyond the financial. Maggie figured out that if health systems were to be successful\, they would need someone to “translate” healthcare workflows to the programmers\, she started taking computer programming classes. Which lead to becoming a systems analyst\, assisting in the design and implementation of a system at Georgetown Hospital. Later\, working for Inova Health System\, she started as an analyst\, leaving 22 years later as the vice president of applications to come to URAC as CIO.

DESCRIPTION:Mental health parity has been the law since 2010 and the 2020 omnibus spending bill included new obligations for health plans to prove that they are equitably treating mental health and medical/surgical claims. In this webinar\, URAC leaders explain how non-compliance with parity regulations can be costly and how URAC’s Mental Health and Substance Use Disorder Parity Accreditation can help ensure your members\, partners\, and providers that your organization recognizes the importance of compliance with federal and state regulations. \n\n \n\nSpeaker Bios\nRobin Adams\, MBA\, MS\nRobin Adams\, Vice President of Strategy and Product Development at URAC\, brings two decades of experience working in pediatric\, academic and community-based health systems developing strategic plans and leading multi-disciplinary teams. Robin is responsible for the strategic development of new programs and ensuring that existing programs remain up to date in a changing era of health care. As a member of URAC’s leadership team\, Robin works with several of URAC’s advisory committees and clients to ensure that URAC’s programs support the assessment of high-quality health care. Prior to coming to URAC\, Robin held leadership roles at Children’s National Health System\, INOVA\, and Sentara Healthcare. She received an MA in Finance from Cornell University and her MBA from Virginia Polytechnic Institute. Robin serves as adjunct faculty at George Mason University in the School of Health Administration and Policy. \nKevin Malone\, JD\nKevin J. Malone is a Senior Counsel in the Health Care and Life Sciences practice in the Washington\, DC\, office of Epstein Becker Green and a Strategic Advisor in the firm’s affiliated consulting practice EBG Advisors. Mr. Malone provides regulatory and strategic guidance related to health care financing law and policy at both the federal and state levels\, with a particular focus on Medicaid\, Medicare\, behavioral health\, long-term care\, and managed care. He joined Epstein Becker Green in 2016 after six years in health care financing policy roles at the U.S. Department of Health and Human Services\, most recently with the Centers for Medicare & Medicaid Services (CMS). Mr. Malone received his Juris Doctor from The George Washington University Law School and B.A. from Washington University in St. Louis. He is admitted to practice law in Washington D.C.\, Massachusetts\, and New York. \nRoger Kathol\, MD\nRoger Kathol\, one of the Managers of Cartesian Solutions\, LLC\, is a health consultant who works with co-owners and partners in assisting hospitals and clinics\, health plans\, employers\, government agencies\, and case management vendors develop value-based integrated programs for general medical and psychiatric patients\, and especially those with health complexity. Dr. Kathol is board certified in internal medicine\, psychiatry\, and medical management with extensive experience gained during 22 years as an academic physician\, teacher\, and researcher; 3 years as a health plan medical director; and 20 years as an international health complexity\, integrated care\, and case management consultant. He is an Adjunct Professor at the University of Minnesota and has published over 200 peer-reviewed articles and book chapters and has written or edited more than 10 books. He is a current member of URAC’s Board of Directors. \nDe’Anna Hardin\nDe’Anna Hardin is URAC’s Mental Health and Substance Use Disorder (MH/SUD) Parity Initiative Lead and orchestrates outreach efforts for URAC’s Parity Compliance Program\, including Parity Manager™\, and MH/SUD Parity Accreditation. De’Anna has over 19 years of industry experience\, including nine years in health care with a portfolio mix within several regulatory bodies for code compliance specifically related to health care accreditation\, health care engineering\, critical environments\, infection prevention control\, and life safety. De’Anna graduated cum laude from The University of Memphis with a Bachelor’s degree in Business Administration.

Dr. Griffin spent close to eight years in the role of Chief Quality and Informatics Officer with Memorial Hermann Physician Network in Houston\, Texas. Dr. Griffin has also served as the Chief Medical Information Officer for both Baylor College of Medicine and Heartland Regional Medical Center. \nDr. Griffin is a graduate of Carver College of Medicine at the University of Iowa. Dr. Griffin was trained in Rural Family Medicine and is a fellow of the American Academy of Family Physicians.

This interactive session promises to help you feel more prepared to start your accreditation journey. \n\n \n\nSpeaker Bios\nKurt Acker – Director of Sales\nKurt Acker is the Director of Sales for URAC. In his role with URAC\, he manages the Sales team\, drives organizational growth and development\, develops market strategies\, and builds strategic partnerships. Prior to coming to URAC in 2018\, Kurt held leadership roles at Digital Ops\, National Spine & Pain Centers\, and Capital Caring. \nDiane Sacco\, DNP\, MSN\, RN – Accreditation Reviewer\nDiane Sacco DNP\, MSN\, RN is an accreditation reviewer at URAC\, an independent\, not for profit national accreditation organization representing the health care industry. Her career in health care includes behavioral health\, medical-surgical\, nursing research\, and graduate education. Diane has also worked for national health plans in quality management\, utilization management\, and case management. She has served on several committees for the American Association of Diabetes Educators (AADE) and as a manuscript reviewer for the Journal of Professional Nursing. She has served on student doctoral committees and co-authored research articles. \nDiane has a Doctor of Nursing Practice degree from Rush University and Master’s Degree in Nursing Administration from Indiana University of Pennsylvania. \nStephen Graham\, MS – Accreditation Reviewer\nStephen (Steve) Graham began his career in the United States Army as a Registered Nurse in Critical Care. Upon leaving the Army he focused on health care operations and compliance. He served as the privacy officer for both a large health system\, and while as a consultant\, to the State of Connecticut\, Department of Social Services. \nSteve’s additional experience includes working for several national health plans\, for one\, as a Regional Market Clinical and Network Manager\, where he was responsible for evaluating networks in the southeast for quality and cost efficiency; and another\, as the Director of Quality Management. In addition\, Steve worked at the largest Federally Qualified Health Center in the country as the Associate Vice President of Healthcare Services and Quality Management. \nSteve is a member of the PRIME® faculty\, providing education and training to health care professionals. Steve holds a bachelor’s degree in Nursing from Syracuse University and a Master of Science in Administration with a focus in Health Services Administration from Central Michigan University. \nMorinola Sodeke\, MSc. – Client Relations Manager\nMorinola Sodeke\, MSc. joined URAC’s Client Relations Management team in January 2021 and serves as a Client Relations Manager. She possesses a strong passion in developing strong client relationships which leads to a high ratio of client retention. \nMorinola brings to URAC over 25 years of professional experience in client and business development. Prior to coming to URAC\, Morinola worked in the Assisted Reproductive Technology (ART) field as a Physician Relations Specialist helping fertility clinics and their patients achieve their dream of having a family. As an advocate/liaison for the largest gamete company in the US she helped to forge and form strong\, lasting relationships which gave the fertility clinics and their patients\, an alternative to having a family. \nMorinola holds a Master of Science in Organizational Development & Strategic Human Resources degree from Johns Hopkins University\, Carey School of Business and a Bachelor of Science\, Demography & Social Statistics degree from Obafemi Awolowo University\, Ile-Ife\, Osun State\, Nigeria.
